A.I.C ATHIRIVER TUMAINI CHOIR

CONSTITUTION AMENDMENT 5TH MARCH, 2017.

1. NAME

This group is known as A.I.C ATHIRIVER TUMAINI CHOIR

2. ABOUT TUMAINI CHOIR

-A.I.C ATHI RIVER TUMAINI CHOIR is a group of young and energetic Christian youths who know Christ as their own savior.

-The Choir was founded in A.I.C ATHI RIVER by the saved youths in the year 2008 as VIJANA CHOIR but later changed to A.I.C ATHIRIVER Tumaini CHOIR; purposely to minister through singing, evangelizing and involvement of other church activities.

3) TUMAINI CHOIR VISION STATEMENT:

-The choir aim is to promote the Art form “music is life” involving local people in the choir to proclaim, admonish, teach and bring each and every one perfect in Christ and in a wide range of music to the world; by the choir members for the church as they rise and shine for Christ.

4) TUMAINI CHOIR MISSION STATEMENT:

-To sing, evangelize and make disciples of all nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, and teaching them to obey everything Christ has commanded.

Psalms 150:1-6 Mathew 28:19-20

5) OBJECTIVES:

The objective of the choir shall be to advance, improve, develop, nurture talents and maintain Christian Education and values in the appreciation of the art of music in all its aspects in presentation to church and outreach ministries and for the general purposes of such charitable Christian bodies of such purposes as shall exclusively be charitable as the committee may from time to time decide.

6) MEMBERSHIP:

-Is open to any youth of A.I.C ATHIRIVER of the said age bracket, interested in furthering the objects of the choir on payment of joining fee of Kshs 100 and filling of a membership form returned to the choir secretary.

-Membership is restricted to A.I.C.ATHIRIVER youth members meaning that youths of 10 years of age and not married will be eligible for membership subjects to approval by the committee.

- Young couples of not more than five years in marriage who are willing to join the choir will be allowed. NOTE: THIS REFERS TO THE CHURCH WEDDED COUPLES ONLY.

7) WHO IS TO BECOME A CHOIR MEMBER

1) Should be a youth of A.I.C ATHIRIVER.

2) Should be fully saved and lives for Christ.

3) Should be committed to growing spiritually, physically and maturing in Christ.

4) Should be ready to respect one and obey the leadership of the choir as well as the choir members and the choir instructor.

5) Should be willing to go under a probation period of at least 3 months before declared a full choir member.

6) Should be willing to adhere to the choir dress code. Because our dressing code falls under the decent category as the Bible requires.

7) Should have completed filling the membership form and returned to the choir secretary.

8) Should bring a recommendation letter from his or her local church.

9) Should be willing to adhere and abide with the choir rules and regulations.

10) Should be interested in furthering the objectives of the choir.

11) Should have read and understood all the rules and regulations of the choir.

12) Should have signed as the form as show of commitment.

13) Should be punctual enough (a good time keeper).

TERMINATION OF MEMBERSHIP

-The committee has the power to terminate the membership of any individual if a valid reason is shown.

· Before final decision of termination of memberships made, the individual concerned will have the right to be heard by the committee and may be accompanied by a colleague if desired.

· A committee member will be excluded from this power if;

-He/She is the individual facing termination of membership.

-He/She has made a complaint against the individual facing termination of membership.

-Membership is deserved to be cancelled if there is no involvement in any given period of six months without the committee’s discretion but will attract a further joining fee of 200/-to become a member again.

CHOIR COMMITTEE

ü The management of the choir shall be in the hands of the committee

ü The chairperson and the committee member shall be elected by the choir members and gender equality considered.

ü The committee shall hold office for 5 years and be eligible for reelection in accordance with the constitution of A.I.C KENYA.

ü No provision will be made for a certain number of members to be opted by an agreement with the committee.

ü The choir chairman is requested to make public the vacant position of the committee member, the intention to stand down not less than 1 month prior notice, then committee will advise on the pending vacant post to enable prospective new committee members to have themselves nominated and should be on the next general meeting.

ü If a committee member steps down during his/her term, the committee may vote for a replacement out of the existing committee or co-opt from the choir members for the reminder of the term and be re-elected at the next election.

OFFICIALS AND THEIRS DUTIES

1. CHOIR MASTER

v To direct the group during singing

v To conduct the choir

v To train and control the choir when they perform

v To check the attendance of the choir members during practices and rehearsals

2. CHAIRMAN

v To chair meetings

v Call for all meetings including emergencies

v Introduces the group

v Delegate duties

v To lead the group during events

v Is a signatory.

3. SECRETARY

v Keep the records

v Gives out all the reports about the group

v Programmes the group during events

v Is a signatory

4. TREASURER

v Keeps the receipts and records money

v Signs or authorizes all the money used and contributed in the group upon approval

v Keeps money for the group

v Controls the expenses of the group

v Is a signatory

5. DISCIPLINARY MASTER

· Disciplines the group members in the group including warning as per the constitution

· Ensure all duties and responsibilities of every member in the group are done effectively and according to the constitution.

· Collect all the fines as per the rules and regulations

6. CHOIR MEMBERS

§ Ensure choir committee manages well and as per the constitution

§ Participate actively in voting and making their contribution in all general elections and meetings

§ To seek clarifications of issues if any

§ Ensure all the duties of all the choir officials are done and effectively

§ Raises any forgotten matters of discussion i.e. A.O.Bs

Choir sponsors

N.B. The choir executive committee members are: chairperson, vice chairperson, secretary, vice secretary and the treasurer.

8. MANAGEMENT

All the arrangements for the ministries and events and the control of the finance shall be in the hands of the choir committee

9. POWERS

In furtherance of the objectives but not otherwise the committee may exercise the following powers.

a. Power to raise funds and to invite contribution provided that in raising funds the committee shall not undertake any relevant requirements of the law

b. Power to establish or support any choir members if need be but within the capacity and with approval of the choir members

c. Power to terminate choir members

d. Power to suspend any choir of irregularities

e. Power to do such lawful things as is necessary for the achievements of the object of the choir.

10. MEETINGS AND PROCEEDINGS OF THE COMMITTEE;

Ø The committee shall hold at least 1 ordinary meeting each month and choir general meeting after every 2 months.

Ø A special meeting may be called at any time by the chairperson, by any 2 members of the committee, upon not less than 7 days’ notice being given to the members of the committee of the matter to be discussed.

Ø The chairperson shall act as the choir at the meeting of the committee.

Ø In the absence of the choir chairperson/vice chairperson the members of the committee present shall choose one of their number to be chair before any other business is transacted.

Ø The meeting will be valid if committee members are more than 5.

Ø Every matter shall be determined by a majority vote of the members of committee present and voting on the question, but in case of equality of votes, the chairperson of the meeting shall have second or “casting vote”.

Ø The committee shall keep minutes of the proceedings at meetings of the committee and any sub-committee, and shall ensure that these are stored safely, by the secretary and are available for inspection as required.

Ø The committee may from time to time make and alter rules for the conduct of their business, the summoning and conduct of the meeting, and the custody of documents.

No rule may be made which is inconsistent with this constitution.

The committee may appoint one or more sub-committee members to be determined by the general committee.

The purpose of the sub-committee will be to make any enquiry or supervise or perform any function or duty which, in the opinion of the committee, would be more conveniently undertaken or carried out by a sub-committee; provided that all the acts and proceedings of any sub-committee shall be fully and promptly reported to the committee. The objectives of any sub-committee should be clearly delivered, documented, communicated and minuted so there is no question on their responsibilities and should be carried out consistently within the rules of this constitution.

11. EQUAL OPPORTUNITIES

No person of the said age shall be excluded from membership of the choir or barred from any official capacity on the committee on the grounds of sex, age or disability and meets the qualifications within our Christian cores and values.

14. FINANCE

ü The financial year shall end on 31st DECEMBER every year.

ü No choir member is to be REFUNDED of any contribution he/she has made in the choir.

ü The choir shall receive donation, grants in the aid of financial guarantees

ü The income and property of the committee when so ever derived shall be applied solely towards promoting the objects of the choir as set forth above and no portion thereof shall be paid or transferred either directly or indirectly to any member or members of committee, except in payment of legitimate expenses incurred on behalf of the choir.

ü Some of the group’s income shall be used to run the office

ü All payments (fee) shall be determined by both the members and choir committee dependent on the events of the entire calendar year and paid within the period agreement on.

15. ACCOUNTS

The financial ACCOUNTS OF THE CHOIR of the year or quarterly as per the request shall be examined and presented to all members in general meetings.

A proposed budget may be tabulated at the end or at the start of every financial year.

· Organized funds drive

· Through endorsed fines

· Through membership fee

· Donation or support of any kind

· Through our choir music

· Through choir members own contributions

17. AMENDMENTS OF THE CONSTITUTION

-the constitution may be altered by a two third majority of the members present and voting at any general meeting if any

18. DISSOLUTION

The choir at theirown wish may decide to give sell or transfer any of their property upon agreement to any institution having similar objectives to those of the choir in general meetings

-In case of indiscipline and termination of membership the victims will be issued with an official letter copies copied to the LCC and the group.

· Letter of suspension

· Letter of termination

Members of The Choir Will Not Be Allowed To Present on Sundays Or Any SAID Function if:

v The choir member is under the said probation period

v The choir member is one under suspension

v The choir member has not come for rehearsal on Saturday

v The choir member has no uniform of that particular day

v The choir member is not approved by committee

v The choir member’s current situation does not allow.
